Get started with DocuWare to print and scan

  1. You’ll receive a registration email from info@eu.accounts.ricoh.com once an administrator has registered you. 

  2. Follow the link in the email to confirm your User ID and set your password. 

    1. If you use your Microsoft 365 account as your RICOH Smart Integration credential, select Sign in with Microsoft 365 account

      1. Select which account you want to sign in with and complete authentication to log in, if applicable. 

      2. Select Accept for the necessary permissions.

Set up OAuth for DocuWare to print and scan

You need to set up authentication to give permissions to DocuWare. 

  1. Go to the login page

  2. Select the Application Settings (General Users) icon.

  3. On the left-hand navigation, select External Service Connections. 

  4. Select Configure in the DocuWare row. 

  5. Enter your organisation, username and password in the popup window. If you don’t know these, contact your IT administrator.

    1.  Insert only part of the URL of the server into Organisation’. For example, if you are using the site https://sdce-test.docuware.cloud, then only insert sdce-tes.

  6. Select Confirm

  7. On the left-hand navigation, select External Service Connections. 

  8. Check the DocuWare row now says Configured

Configure settings for DocuWare to print and scan 

  1. Go to the login page

  2. Select the Application Settings (General Users) icon.

  3. Select Application List from the left-hand navigation.

  4. Select RSI Package for DocuWare Cloud

  5. The apps you can configure settings for will appear. 

Configure settings for DocuWare scan applications 

You can configure many settings for scan applications. Some useful ones are:

  1. Enter an email notice (subject heading) in the Failure notice Email Subject box. This is the email address which will be automatically notified if the scan function does not work. 

  2. Set a default root folder (the administrator may have pre-selected the default root folder). 

  3. If you are adjusting the settings for a scan application, you’ll be able to amend the OCR (optical character recognition) setting and language. If enabled, OCR will automatically extract any text or images in a PDF. 

Print using DocuWare 

Before you can use DocuWare to print, you must have:

  1. Confirmed your User ID and password.

  2. Set up OAuth for DocuWare. 

  3. Configured settings. 

Once you have completed the prerequisites above, you are ready to print. 

  1. Go to RICOH Smart Integration MFP BrowserNX or the Bookmark cloud icon on the printer’s operation panel.

    1. If this is the first time the MFP is being used, the administrator will need to log on to the MFP using Tenant ID or User ID and Password, or Email address and password. (Once an administrator has logged in to a Tenant on MFP, an administrator from another tenant cannot login to the same MFP).

    2. The administrator will enter the login details.

  2. Select the application you want to print from on the printer’s operation panel. 

  3. Select the file you want to print. The maximum file size to print is 40MB.

  4. Follow the operation panel screen to adjust settings for your print application (for example, number of copies to print). 

    1. Some settings might be unavailable to adjust, depending on how the administrator has calibrated the package. 

  5. Select the green Start button at the bottom right. 

Scan and upload using DocuWare 

Before you can use DocuWare to scan, you must have:

  1. Confirmed your User ID and password.

  2. Set up OAuth for DocuWare. 

  3. Configured settings. 

Once you have completed the prerequisites above, you are ready to scan. 

  1. Go to RICOH Smart Integration MFP BrowserNX or the Bookmark cloud icon on the printer’s operation panel.

    1. If this is the first time the MFP is being used, the administrator will need to log on to the MFP using Tenant ID or User ID and Password, or Email address and password. (Once an administrator has logged in to a Tenant on MFP, an administrator from another tenant cannot login to the same MFP).

    2. The administrator will enter the login details.

  2. Select the application you want to use to scan on the printer’s operation panel. 

  3. If you are selecting a ‘My’ type application:

    1. You have the option of logging in with your Tenant ID and User ID, or with your email address. 

      1. Optionally, your administrator may have set up login methods such as PIN code or an external service (O365). 

  4. Select the file you want to scan. The maximum file size to scan is 40MB.

  5. Follow the operation panel screen to adjust settings for your scan application (for example, the file name or whether to enable OCR). 

    1. The maximum file name length is 200 characters. Do not use the following characters: ~"#%&*:<>?/\{|}

    2. If you or an administrator has named a file cabinet as Base file cabinet, the file selection will start in that file cabinet. Otherwise you’ll need to select the file cabinet on the Smart Operation Panel, and then select the file.

  6. Select the green Start button at the bottom right.
