Get started with printing
This documentation is for users needing to use a RICOH printer.
There is separate documentation for admins setting up RICOH Control+.
Confirm your registration
Before you can use a RICOH printer, you’ll need to set up your account.
You should have received an onboarding email from the RICOH admin in your company.
When you receive your onboarding email, you’ll be able to confirm your registration, set a password and log into the RICOH user site.
Access the RICOH user site
To get access to the RICOH user site, you’ll need to have registered yourself as a user in the previous step.
Set and amend your default settings
You may want to alter or update some of your RICOH details.
Go to the RICOH user site.
Select Application List from the left hand navigation.
Select a package on the left.
Select an application on the right to configure.
Set default settings.
Change your password
Go to the RICOH user site.
Select My Account Settings from the left hand navigation.
Select Change Password from the left hand navigation.
Enter the password details.
Select Save.
Install the RICOH driver
To use a RICOH printer, you’ll need to install a ‘driver’. A driver is a software component that lets the operating system on your machine and the printer communicate with each other.
To install the driver:
Go to the RICOH user site.
Select Download from the left hand navigation.
Select the correct installer according to how you log in to the user site.
Open the downloaded file and it will automatically set up your printer driver.
Select a document you want to print.
You will see RSI Cloud Printer in your printer list. When you first use the printer, you’ll need to input your RSI credentials.
Set up coordination with external cloud services
Optionally, you can also set up coordination with external cloud services if the administrator has allowed these settings.
Go to the RICOH user site.
Select External Service Connections from the left hand navigation.
Select Configure and follow the instructions for each service. If no services are visible, the external cloud service coordination is not available.
Unconfigure external cloud services
Go to the RICOH user site.
Select External Service Connections from the left hand navigation.
Select Unconfigure for the service you want to break the connection with.
Use an IC card for printing
If your organisation is using IC cards, you will have been issued one by your administrator.
Take your card and hover it over the IC card reader on the printer.
Select the file you want to print.
The file will print.
Change your IC card
You can only have 1 IC card registered to your account. If you change your IC card, your original smart devices details will be overwritten.
Hold the unregistered IC card over the IC card reader.
Press Registration.
Enter your email address and password.
Press Registration.
Press Overwrite.
Press Confirm.
Use a smart device for printing
If your organisation is using smart devices for printing, you will have been issued one by your administrator.
Take your smart device and hover it over the control panel on the printer.
Select the file you want to print.
The file will print.
Change your registered smart device
You can only have 1 smart device registered to your account. If you change your smart device, your original smart devices details will be overwritten.
On the smart device, open RICOH Smart Device Connector, touch Login to MFP, and then touch Next.
Hold the unregistered smart device over the control panel.
Press Registration.
Enter the registered user's email address and password, and then press Registration.
Press Overwrite.
Press Confirm.
Logging into a printer
There are various methods you can use to log in to a printer (your admin will have needed to configure these).
Use an IC-card to log in – hold the IC card over the card reader
Use a smart device to log in – hold the smart device over the control panel
Use a keyboard to log in for ID/email address/password:
on the Login screen, press Keyboard input login (bottom right).
enter the information.
press Login.
Use a keyboard to log in for User Select:
on the Login screen, press Keyboard input login (bottom right).
press the appropriate user name from the list on the screen (to find this, you can choose between User ID and Email address.
enter the password.
press Login.
Use a keyboard to log in for External Service:
on the Login screen, press Keyboard input login (bottom right).
follow the on-screen instructions to enter your Microsoft 365 account information.
Logging into a printer as an administrator
On the Login screen, press Keyboard input login (bottom right).
Press Administrator Login (bottom right).
Enter user ID and password, and then press Login.
Logging in as a Temporary Guest User
A non-registered user can use a device temporarily by logging in as a guest user.
To allow a guest user to log in, an RSI-admin will have had to enable the guest login function on Device Management to create a guest user.
On the Login screen, press Guest Login.
Follow the on-screen instructions to log in as a guest user.
Logging in via Emergency Mode
If the printer is offline, log in as a guest user in Emergency mode, as authentication via RICOH Cloud Service is not available.
You cannot use an application requiring authentication via RICOH Cloud Service in Emergency Mode.
If a job is executed while logged in via Emergency Mode, the job will log as a guest user job.
Selecting a billing code when using a printer
If your admin has enabled the billing code function you can select a billing code when logging in.
If you are logging in as a guest user or administrator, or in Emergency Mode, no billing code is available for selection even if the billing code function is enabled.
If you select a billing code:
the code is valid until you log out
the code is recorded in the job log
Go to RSI portal.
Press Select Billing Code.
To search billing codes:
Select Change.
Select the appropriate billing code.
To manually enter a billing code:
On the Billing Code List screen, touch the Manual Entry tab to change to the Manual Entry screen.
Touch the input box to display the software keyboard, and then enter an appropriate billing code (you can also enter a non-registered billing code).
Touch Finish.
Touch OK.
Touchless printing with a smart device
With a RICOH Smart Device Connector, select and add the document or image you want to print.
Make sure Bluetooth is enabled on the smart device.
On RICOH Smart Device Connector, touch Login to MFP, and then touch Next.
Hold the registered smart device over the control panel.
The document or image you registered by step 1 will print.
